Front Office Receptionist
Job Role:
The Front Office Receptionist is responsible for managing the front desk in our showroom on a daily basis and to perform a variety of administrative and celrcial tasks.
Responsibilities:
- Greeting clients in a polite manner, and setting a positive and welcoming atmosphere.
- Answering the phone, taking messages, and redirecting calls to appropriate departments.
- Setting customer appointments.
- Handling cash, issuing customer receipts and coordinating cash movement to head office.
- Organizing and maintaining files and records, whilst updating them when necessary.
- Assisting with a variety of administrative tasks including copying, scanning, taking notes and doing reservations.
- Coordinating the mail flow in and out of office.
- Monitoring, organizing and forwarding emails.
- Maintaining Outlook calendar including leave and important reminders.
- Performing an inventory of showroom / office supplies and ordering what is needed.
- Responsible for the daily upkeep of the showroom.
- Calling customers and / or 3rd parties as directed by the line manager.
- Assisting the sales team with administrative tasks and passing their orders to the purchasing department.
Requirements:
- Proficiency in Microsoft Office Suite.
- Professional attitude and appearance.
- Multitasking and time-management skills, with the ability to prioritize tasks.
- Excellent customer service skills.
- Excellent telephone skills.
- Excellent communication skills.
- Pro-active attitude.
