FRONT OFFICE + ADMIN OFFICER
Roles & Responsibilities:
• Greet clients and set a positive and welcoming atmosphere.
• Answer incoming calls, take messages, and redirect calls to appropriate departments.
• Organize and maintain files and records.
• Assisting with a variety of administrative tasks including copying, scanning, taking notes
and reservations.
• Coordinate mail flow in and out of office.
• Monitor, organize and forward emails.
• Bookkeeping.
• Responsible for the daily upkeep of the front office area.
• To call customers and/or 3rd parties as directed by direct manager.
• Assist various departments with administrative tasks.
• To set customer appointments.
• To handle cash, issue customer receipts and coordinate cash movement to head office.
• Organise and maintain files and records, update when necessary.
• To maintain outlook calendar including leave and important reminders.
• Perform inventory of showroom/office supplies and order what is needed.
• Responsible for the daily upkeep of the showroom.
• Assist the sales team with administrative tasks and pass their orders to the purchasing
department.
• Data collection and reporting
Requirements:
• Fluent in English and/or Maltese
• Previous experience in an administrative role is required
• Proficient Microsoft Office skills
• Professional attitude and appearance
• Multitasking and time-management skills, with the ability to prioritize tasks
• Excellent customer service skills
• Excellent telephone skills
• Excellent communication skills
• Pro-active attitude
